An unexpected call at 13:45
An unknown number is not always welcome when you run a business. This one was. It brought a prospective client who had heard about our work and wanted to talk about a substantial software project.
Thomas Huber described easystaff and kept returning to the “easystaff manager”. This was not a person, but an application that had grown over more than twenty years, with many developers adding and changing it along the way.
“We want to rebuild it, and I’ve heard you’re the right people for the job.” That was the invitation.
Reviewing easystaff manager before the rebuild
The first review showed how much the easystaff manager handled. Staff registration and administration, jobs from quotation through billing, communication between project managers and staff, applications, acceptance and rejection, and employment registration all ran through it.
People spoke about the application almost as if it were a long-serving colleague. This was the business’s core system, with a great deal of knowledge and personal investment behind it. Any replacement had to respect that.
We began by examining the existing system and the organisation’s needs. The code reflected years of work by different developers on an ageing foundation. We reviewed hundreds of use cases, interviewed dozens of employees across different roles and gathered plans for the future. The scale was considerable, but so was the opportunity to improve everyday work.
ESM 3.0: the new platform
easystaff Manager 3.0 launched in summer 2020 with a new interface, a modern backend framework and an Angular frontend. Integrations with SMS, push notifications, email, social insurance and payroll services are central to how the platform supports the business.
New features and upgraded infrastructure
The release was the beginning of the next phase. Fixes and smaller features sit alongside larger projects, with staff experience and internal workflows guiding priorities. We continue to examine where software can improve the company’s day-to-day processes.
Infrastructure advice is part of the partnership too. Around the platform’s second anniversary, we completed a larger update and moved it to more powerful infrastructure. The move to a highly available setup also strengthened operational resilience.
From client relationship to partnership
Building easystaff manager led to a long-term relationship extending beyond application support.
That development took a further step when easystaff proposed a long-term collaboration and an equity investment in our company. It was a significant expression of confidence from people who had worked closely with us and seen the approach in practice.

“A genuine partnership”
With rudybohrer, we have found more than a supplier who has a firm grasp of our demanding IT applications. We have a genuine partner whose judgement and advice we trust completely — not only for our core application, but also for many other IT and digital projects.
“Always looking for a solution”
However unusual our ideas and requests may be, the rudybohrer team finds a solution and gives advice without self-interest. We feel that developing our application and finding the best answer for easystaff always come before their own commercial gain.
